Payment Policy – Gazebo Tours
All services provided by Gazebo Tours are subject to the following terms and conditions.
In these terms, the word “Services” refers to any of the following provided by Gazebo Tours:
(a) Transportation
(b) Accommodation
(c) Guided tours and other travel-related services
1. Booking Process
All booking details must be submitted either by the traveler themselves or by a nominated person authorized to act on behalf of a group (“Client”).
Once a booking request is received, Gazebo Tours will confirm the arrangements as soon as reasonably possible. A legally binding contract is formed only when a confirmation invoice is issued.
Some services may depend on third-party availability (such as hotels or transport providers). In such cases, confirmation may take additional time and the contract will only be valid once those services are formally confirmed.
The Client is responsible for carefully reviewing all booking details and must immediately report any errors or required corrections.
2. Contract Terms
This agreement is governed exclusively by the laws of Sri Lanka.
Gazebo Tours acts as an intermediary between the Client and independent third-party service providers such as hotels, transport companies, and activity operators.
Although we carefully select our partners, Gazebo Tours does not directly control or manage these providers and therefore cannot be held responsible for any actions, service failures, delays, accidents, injuries, losses, or damages caused by third parties.
All suppliers operate under their own terms and conditions, which may be provided separately in vouchers or directly by the supplier.
3. Payment Terms
Full payment is required at the time of booking confirmation unless otherwise stated in writing by Gazebo Tours.
No services will be provided unless full payment has been received before the start of the tour.
If payment is not completed within the required timeframe, Gazebo Tours reserves the right to cancel the booking or apply cancellation fees where applicable.
4. Pricing and Cost Changes
Tour prices are based on current supplier rates at the time of booking confirmation. However, prices may change due to factors beyond our control, such as:
- Fuel or transportation cost increases
- Airline or carrier price adjustments
- Government taxes or service charges
- Exchange rate fluctuations
If any such changes occur, the revised costs will be communicated to the Client and must be settled as per the payment terms.
5. Changes to Booking by Client
If the Client wishes to modify travel dates or services after confirmation, requests must be submitted to Gazebo Tours.
We will make every effort to accommodate changes; however, availability cannot be guaranteed. Any additional costs arising from changes will be borne by the Client.
Unused services are non-refundable and non-transferable.
6. Cancellation by Client
Cancellations must be requested through official communication channels using the same contact details used for booking confirmation.
All cancellations are subject to the cancellation policy provided at the time of booking. Applicable charges may apply depending on the timing of cancellation.
7. Changes by Gazebo Tours
In rare situations, Gazebo Tours may need to adjust itineraries due to operational requirements or supplier changes, including transport schedules or availability.
Clients will be informed of any significant modifications as early as possible.
Gazebo Tours is not responsible for any additional expenses incurred by the Client due to unavoidable changes beyond our control.
8. Complaints and Disputes
If any issue arises during the trip, the Client must immediately inform the relevant service provider (such as the hotel or driver).
If the issue is not resolved, Gazebo Tours must be notified in writing within 48 hours, including booking reference and full details.
Failure to report issues within the required timeframe may affect the ability to process claims.
Any unresolved disputes may be referred to arbitration under Sri Lankan law, with proceedings conducted in English in Colombo.
9. Liability
Gazebo Tours’ liability is limited strictly to the value of the service purchased.
We are not liable for indirect losses, delays, accidents, injuries, or disruptions caused by third-party service providers or circumstances beyond our control.
10. Client Responsibilities
Clients are responsible for:
- Their own health, safety, and travel insurance
- Medical expenses or emergency care if required
- Ensuring valid passports, visas, and travel documents
- Compliance with immigration and health regulations
- Personal behavior during the tour
Any damage caused by the Client to property or services must be compensated directly by the Client.
11. External Support Services
Gazebo Tours may work with affiliated support partners who assist in customer service and operational coordination. However, these entities do not manage bookings or act as official agents of Gazebo Tours.
All bookings and contracts are handled exclusively by Gazebo Tours.
General Terms
All content provided by Gazebo Tours is for personal, non-commercial use only.
Unauthorized copying, reproduction, or distribution of any material is strictly prohibited.
